Operations Associate TT

General Accountability

The Operations Associate is responsible for posting, reconciling, and initiating transactions managed by the unit and all other channels processing sales, repurchases, account adjustments and fund transfers on customer and office.

This position is required to perform activities to initiate funding for 20 bank accounts and office accounts as well as executing transactions received electronically and requested by Sales and Marketing.

 

Key Responsibilities

Execute postings and/or the processing of specified transactions.

  • Ensure transactions are processed which include but is not limited to:

Posting: 

  1. Of acquiring redemptions done at the ATM
  2. Subscriptions
  3. To FC debiting bank account for VISA transaction
  4. Payroll settlement
  5. To general ledger (GL) accounts
  6. And requesting of bank charges

(vii)Incoming remittances to CPU

(viii)RBC linx fees to GL

(ix)EXPROS & APPROS

(x)Monthly bank charges & interest for all bank accounts managed by the unit

(xi)ACH outward credits

(xii)ACH outward debits

  • Preparing documents and submit to the Electronic payment Unit for the following:

(i)Cash in transit request made by the ICs.

(ii)Electronic transfer requests received from Sales and Marketing

(iii)Uploading of transactions returned from inward and outward remittances files i.e., ACH, RTGS and international wires back into customers’ accounts.

(iv)RTGS and manual Outward Remittances on the CITI Direct platform.

(v)Vendor payments

(vi)ACH UMFT file upload containing confirmed ACH Subscriptions

 

Complete Regularization/ Realization, and update specified transactions initiated by Sales and Marketing.

  • Analyze the Corporation’s bank statements and perform the following: -
  • regularize zones for TT cheques.
  • upload of subscription file for cleared instruments into customer accounts.
  • realization of foreign currency cheques for US and TT accounts
  • processing of dishonored cheques
  • processing of cross currency transfers
  • Process status changes and postings in the system for: -
  • Demand drafts which are lost, stale dated or requested to be cancelled by the sales and marketing team.
  • stop payments for demand drafts.
  • Transaction adjustments in customer and office accounts, ensuring that all required forms and supporting documents are received.
  • Advise ICs and Agents of the following: -
  • Completion of CITI requests
  • Postings to cash replenishment accounts
  • Return inward remittances (ACH, RTGS, Wires] to contact affected customers
  • Credit to operative accounts for cross currency transactions
  • Dishonored instruments
  • Regularization of TT Cheque zones
  • Confirmation of successful and failed Outward Remittances, ACH and RTGS transactions.

Perform daily update, reconciliation and clearance of subscriptions and Redemptions from various channels and office accounts.

  • Update and reconcile fund holdings for all funds by comparing consolidated holdings and net fund net position.
  • Reconcile subscriptions and redemptions done at the ATMs.
  • Ensure

(i)Visa customer adjustment UMFT files are uploaded and received from the Card Services department, should be reflected in the Visa Liability office accounts.

(ii)Prepare a schedule for the daily reconciliation of the transaction value settled by Visa via the Edit Packages received from FC Bank

(iii)Monthly reconciliation for TT and US Demand draft

(iv)Bank fees match cleared cheques for TTD$500k and over.

  • Perform a clearing process between the customer adjustments identified on the Visa reconciliation and the customer adjustments reflected in the respective TTIF and USIF Visa Liability General Ledger accounts.
  • Investigate issues arising from the daily TTIF and USIF Visa Liability reconciliation.
  • Prepare and post journal entries arising from the daily reconciliation of the TTIF and USIF Visa Liability General Ledger accounts.
  • Ensure that the following office accounts are cleared, and/or balance reflects timing adjustments:

(i)TTD and US Cash Settlement

(ii)All fees (FCY, rejected instruments, RTGS etc.)

(iii)Funds transfer

(iv)Visa cash funding

(v)TTD and USD FCY cheques contingency asset/liability

(vi)Guarantee

(vii)Withholding and distribution.

(viii)ACH Settlement

(ix)TTD and USD uncleared demand draft

  • Additionally, D365 Funds Transfers are cleared.

Review and ensure that all USD and TTD automated transactions and adjustments processed by the Investment Centres are reflected in the Interface file to upload in the D365 General Ledger

  • Ensure that all supporting transaction adjustment forms are received from the Investment Centres and are reflected in the adjustment report.
  • Communicate with the Investment Centres on adjustments that are not reflected in the adjustment report.
  • Verify that all automated transactions and adjustments are reflected in the USD and TTD Journal Interface file.

Monitor, assign and/or address requests lodged on the Operations Helpdesk.

  • Collate and assign specific transactions uploaded to the operations helpdesk.
  • Address or process request assigned to the helpdesk.
  • Action queries and follow-up on all open request
  • Ensure that all requests are closed in the established timeframe.

Communicate instructions to third parties for transactions and transaction queries, in accordance with the established limits.

  • Analyze relevant reports and prepare wire transfers for US currency conversions to the Corporation and for customer outward remittance.
  • Communicate with the banks, Card Services, departments and ICs on Visa adjustments and processing errors identified.
  • Execute within deadlines and assigned limits, ensuring transactions are bona fide, accurate and (if relevant) can be appropriately captured in financials systems.

Process TTD & USD debit/credit advices received from RBC Bank to ensure advices are analyzed and processed where necessary into customers’ accounts, bank accounts and the General Ledger.

  • Receive debit and credit advice from RBC Bank.
  • Analyze the reason for the adjustment and communicate to the respective Investment Centres for correction.
  • Post fund advice received from the Investment Centres

Investigate all cash book, bank and funds transfer adjustments emanating from daily processes.

  • Investigate and resolve outstanding General ledger adjustments in the Bank Reconciliations and Funds Transfer general ledger accounts.
  • Ensure all adjustments and queries to customers' accounts are communicated to the relevant personnel/ICs and Electronic Services Department and weekly follow-ups initiated until resolved.

Contribute to the overall efficiency of the unit and its standards of customer service delivery.

  • Collaborate with Supervisor to identify service and operational deficiencies.
  • Escalate issues and arising risks in operation for review and treatment.
  • Ensure compliance with governing policies, regulations, and transaction processing procedures.
  • Identify and recommend process improvements for the unit.

Document Management.

  • Ensure all documents emanating from area of responsibility are electronically filed in an orderly manner, properly labelled, presented and available for retrieval, where required.

The selected candidate must possess the following combination of qualifications, skills, training and experience:

  • Passes in five (5) GCE Ordinary Level/ CXC / CSEC Ordinary Level subjects including English Language and Mathematics at General Proficiency Grades 1, 2 or 3 with a maximum of 2 subjects at Grade 3 and two (2) GCE/CAPE Advanced Level subjects.
  • Minimum of two (2) years’ experience in a similar role preferably at a financial institution
